Crowdstaffing: A Recruiting Pipeline for Both Sides of the Hire

A hiring platform managing the contingent-workforce pipeline for employers and staffing agencies alike.

Overview

About Crowdstaffing

Crowdstaffing is a hiring platform for managing a contingent workforce — built for two audiences at once: businesses and hiring managers filling roles, and the recruiters and staffing agencies sourcing candidates for them. A single pipeline view carries a requisition from sourced through vetted, in review, applied, phone screened, interviewed, offered and hired, with candidate profiles, bill rates, messaging and scheduling attached at every stage.

  • One recruiting pipeline from sourced to hired, visible to both employer and agency.
  • Candidate profiles carrying rating, confirmed bill rate, resumes and communication history.
  • Built for two distinct audiences: hiring businesses and staffing agencies or recruiters.
  • Messaging, scheduling and comments attached directly to a candidate's record.
  • Stage-by-stage pipeline counts — sourced, vetted, in review, applied, phone screened, interviewed, offered, hired.

The problem

What the platform had to solve

Contingent hiring runs through more parties than a direct hire: a business needs a role filled, one or several staffing agencies are sourcing for it, and candidates are moving through each agency's own process at a different pace. Without a shared pipeline, that coordination happens over email and spreadsheets, and a hiring manager loses visibility the moment a candidate leaves their own inbox.

Challenges

What made it difficult

Two audiences, one pipeline

An employer and a staffing agency need different permissions and different views of the same requisition — the platform had to serve both without either feeling like a second-class user of the other's tool.

Coordination across parties, not just stages

A candidate's status has to stay consistent across everyone working the same requisition, when normally that coordination happens over email and goes stale the moment someone forgets to reply-all.

Bill rate and pay rate aren't the same number

Contingent hiring carries a rate the agency bills and a rate the candidate is paid — keeping both visible to the right party without confusing the two is a real product decision, not a display detail.

A pipeline that scales past a handful of roles

The stage counts — sourced, vetted, in review, applied, phone screened, interviewed, offered, hired — have to stay accurate and fast to load as a business runs many requisitions with many agencies at once.

Solution

How we approached it

  1. 01

    Shared requisition pipeline

One pipeline view per requisition, with stage counts and candidate cards visible to both the hiring business and the agencies sourcing for it.

  2. 02

Candidate record as the unit of work

Ratings, confirmed bill rate, resumes, messaging, scheduling and comments attached to each candidate, so nothing about their progress lives in a separate email thread.

  3. 03

    Role-appropriate views

Businesses and hiring managers see one set of controls; recruiters and agencies see another — same underlying data, different permissions and workflow.

  4. 04

    Stage-based tracking

Requisitions tracked through defined stages from sourced to hired, so a business can see pipeline health at a glance instead of asking each agency for a status update.

Features

What the platform does

Recruiting pipeline

Sourced, vetted, in review, applied, phone screened, interviewed, offered and hired, tracked per requisition.

Candidate profiles

Rating, location, confirmed bill rate and resume in one card per candidate.

Messaging and scheduling

Direct messaging and interview scheduling attached to a candidate's record.

Dual-sided access

Separate entry points and workflows for businesses and hiring managers versus recruiters and agencies.

Comments and timeline

A running timeline and comment thread per candidate for the people working a requisition together.

Crowdstaffing: common questions

Start a project
  • 01

    Who uses Crowdstaffing?

Two groups on the same platform: businesses and hiring managers filling roles, and the recruiters and staffing agencies sourcing candidates for them, each working from the same requisition pipeline with role-appropriate views.

  • 02

What does the recruiting pipeline track?

A candidate's progress through defined stages — sourced, vetted, in review, applied, phone screened, interviewed, offered and hired — with counts visible at the requisition level so pipeline health is visible without asking for a status update.

  • 03

    How is bill rate handled?

Confirmed bill rate is carried directly on the candidate record, visible to the parties who need it, kept distinct from what the candidate is paid — a distinction contingent hiring depends on getting right.

  • 04

    What did CharPixel build?

The web platform — the shared pipeline, candidate records, messaging and scheduling, and the separate workflows for the business/hiring-manager side and the recruiter/agency side of the product.
